When you apply for a business rental account, we verify your identity before approving the account. This is a fraud-prevention measure: we deliver equipment to job sites, and verifying who is renting protects both us and our customers from equipment theft and identity fraud.
What we collect. An image of your government-issued photo identification, a photograph of your face, and a short video recording used to confirm that a live person is present (a "liveness check"). Providing this information is voluntary, and it is required only if you wish to open an account.
How it is processed. We use Amazon Web Services (Rekognition and Textract) to compare the photograph of your face against the photograph on your identification document, and to read the text printed on the document. AWS processes this information on our behalf as our service provider, under an agreement that prohibits AWS from using it for its own purposes. We do not sell, lease, trade, or otherwise profit from this information, and we do not share it with any other third party.
We do not keep a face template. The comparison is performed at the moment of verification and no facial-geometry record, face template, or biometric identifier derived from your photograph is stored in any database. What we retain are the photographs themselves and the numeric result of the comparison.
Your consent. We ask for your consent before collecting any of this information, and we do not collect it if you decline. We keep a record of the consent you gave, including the exact wording you were shown and the date you agreed.
How long we keep it — our retention schedule. The video recording from the liveness check is deleted within 90 days, because its only purpose is confirming a live person at the time of application. Your identification document images and facial photographs are kept for no longer than two years after your account is closed or terminated, after which they are destroyed. We keep them for that period, rather than deleting them on approval, because they are the record that answers a later dispute about who authorized an account, and because equipment loss and insurance claims can arise well after a rental ends. Records of the verification result, and of your consent, are kept for longer where we are required to retain them to establish or defend a legal claim.
Your rights. You may ask us for a copy of the identity verification records we hold about you, or ask us to delete them, by emailing rentals@dependableliftrentals.com. We will honor a deletion request unless we are required to keep the records to comply with the law, or need them to investigate suspected fraud or to establish or defend a legal claim — in which case we will tell you, and delete them once that reason no longer applies.
Security. These records are encrypted in transit and at rest, are held in storage that is not publicly accessible, and are accessible only to the staff who need them to review an application.
If you are a resident of Illinois, Texas, Washington, California, Colorado, or another state with specific biometric or sensitive-data protections, the rights described above apply to you in addition to any rights granted by your state's law.
When you place a rental order with Dependable Lift Rentals, you may opt in to receive transactional SMS (text message) notifications related to your rental. SMS is entirely optional — it is not required to receive our services. Approximately 10% of customers choose to receive SMS notifications.
What we collect: If you opt in to SMS, we collect your mobile phone number for the sole purpose of sending you rental-related notifications such as delivery scheduling, pickup alerts, and two-way communication about your equipment.
How we use it: Your mobile number is used exclusively for transactional communications directly related to your active rental. We do not use your number for marketing, promotions, or cold outreach. We do not sell or share your mobile number with third parties.
Message frequency: Most customers receive no more than 2–3 messages per rental transaction. Message and data rates may apply depending on your carrier and plan.
How to opt out: You may opt out of SMS notifications at any time by replying STOP to any message you receive from us. You may also opt out by contacting us at rentals@dependableliftrentals.com. Reply HELP for assistance.
Opting out of SMS will not affect your ability to rent equipment or receive communications via email or phone.
This section applies to DLR Assistant, our internal mobile application for iOS and Android. DLR Assistant is not a consumer product and is not available to the public. It is distributed only to authorized Dependable Lift Rentals employees, there is no public registration, and every feature is behind a company sign-in. If you are a customer of Dependable Lift Rentals, this section does not apply to you.
Sign-in and account data: Employees sign in with their Dependable Lift Rentals Google account. We receive the email address and account identifier associated with that account, and use them solely to authenticate the employee and authorize access to internal business records. Sign-in tokens are stored in encrypted storage on the device (Keychain on iOS, EncryptedSharedPreferences on Android) and are removed when the employee signs out.
What the app accesses: DLR Assistant reads internal business records — orders, invoices, bills, estimates, credits, customer accounts and contacts, pricing, product data, call and voicemail logs, and accounting sync status. These records are company data and may include customer information. Employees may only access records their account is authorized to see.
Messages you type: The questions an employee types into the app are sent to our servers to generate a response, and are stored as part of that employee's conversation history so a conversation can be resumed later.
Microphone and voice input: The app offers optional voice input. The microphone is used only while the employee is actively recording a question — the app does not listen in the background and does not record at any other time. The recording is sent to our servers, converted to text, and the text is then handled exactly like a typed question. Voice input is optional; the app is fully usable by typing.
Spoken replies: If an employee turns on spoken replies, the text of the reply is converted to audio so it can be played back. Only the reply text is used for this.
Service providers we share this data with: To provide these features we send data to third-party processors: recorded audio is sent to Groq for speech-to-text transcription; reply text is sent to OpenAI to generate spoken audio; and typed or transcribed questions, together with the business records needed to answer them, are sent to Anthropic, OpenAI, and Groq to generate responses. These providers process the data on our behalf in order to return a result. We do not sell this data, and it is not used for advertising.
Data security. All communication between the App and our systems is encrypted in transit using HTTPS.
Retention. Conversation history is retained for up to twelve (12) months from the date of the conversation, after which it is deleted. During that period it is used for two purposes only: to provide continuity within an employee's ongoing conversation, and for internal review to monitor and improve the quality, accuracy, and security of the App. We do not use it for any other purpose. Voice recordings are not stored after transcription — the recording is transcribed to text and the audio is discarded; only the resulting text is retained, subject to the same twelve-month limit.
Model routing and quality analysis. To keep the App fast and cost-effective, a copy of the question asked and the response given may be recorded in a separate internal system operated on our behalf, together with technical measurements such as which model answered, how long it took, and what it cost. This record is used only to choose better-performing or lower-cost models, to identify common requests that can be answered without calling an AI model at all, and to check answer quality. It is not used for advertising and is not sold. This record is retained for 30 days, after which the text of the question and the response is deleted and only the technical measurements are kept. It is subject to the same access and deletion requests.
Third-party retention. The twelve-month limit above applies to data held in our own systems. The service providers named above operate their own retention practices for data submitted to their interfaces, which are governed by their respective agreements and privacy policies and are outside our control.
Your choices: Employee accounts are administered by Dependable Lift Rentals. Access is revoked when employment ends or when a manager requests it. To request access to, correction of, or deletion of data held about you in connection with DLR Assistant, contact us at rentals@dependableliftrentals.com. Requests are handled subject to records we are required to retain for legal, accounting, or security reasons.
DLR Assistant does not use advertising, does not include third-party analytics or tracking software, does not collect location data, and is not directed to children.
